Summary:
Under general direction, incumbent(s) is responsible for the research, management, planning, execution, and communication of various Human Resources (HR) functions related to systems management, software and workflow improvements, position control and reporting.
***PLEASE NOTE: Washington Elementary School District is in the process of transitioning from Munis to Infinite Visions(Also referred to as Visions / School ERP Pro). Inifinte Visions is determined to be live on July 1st, 2023***
Essential Functions:
- Assist in managing the position control system by adding and updating status of positions, ensuring that budget coding is accurate, reconciling records, reconciling discrepancies between Human Resource and Payroll personnel entries, and resolving discrepancies between staffing allocations reflected on staffing sheets and those reflected in position control. Collaborates with other department staff to make recommendations and to adhere to staffing rubrics, etc. Verifies posted vacancies and requests for hire against current budget allocations.
- Develops and maintains spreadsheets. Analyzes and develops reports and distributes to Human Resources Department and applicable administration. Assists with data collection required for federal and state reports.
- Monitors and manages temporary staff processes, not limited to, new hire paperwork, discrepancies, status change requests, position title and salary rates.
- Interacts with District staff in regards to Human Resources Management functions such as new hire procedures and paperwork, posting for vacancies and new positions, selection process, certification, and other procedures.
- Assist and processes the day-to-day current employee changes within the districts system of record and electronic personal action requests.
- Provides assistance to the Human Resources’ administrative assisitant by preparing substitute payroll, teacher absence reports, managing substitute certificate, and other various reports generated from the substitute system. Verifies when substitutes are required to contribute to Arizona Retirement System.
- Scans, imports, and maintains confidential employee personnel records within the Human Resoucre document manager.
- Evaluate, analyze, design/configure, maintain and supervise all Human Resources data and information.
- Compiles and audits Human Resources related data, not limited to employee relations issues, hiring, budget reconiclation, internal transfer and contracts/notices of employment.
- Establish and maintain good rapport with students, employees, community members and vendors.
- Maintains a high level of ethical behavior and confidentiality.
- Responsible for supervision, maintenance, and technical support for all Human Resources software.
- Perform other related duties as assigned.
Required Qualifications:
To be eligible for this position, an applicant must meet the following required qualifications. Verification of these required qualifications is necessary.
- High school diploma or general equivalency diploma (G.E.D.),
- Minimum of one (1) year full-time experience in a related field, specifically, experience in data entry.
Preferred Qualifications:
It is preferred that applicant possesses the following preferred qualifications; however, the following qualifications are not required to be eligible for this position.
- Bachelors Degree in a related field
- Minimum of three (3) years full-time experience in a related field
