Summary: Under general direction, incumbent(s) performs and coordinates return of merchandise, analyzes product receipt problems, expedites outstanding purchase orders, works with vendors on shortages, mis-shipped items, duplicate shipments, overdue backorders, poor quality items, and damaged items.  Coordinates with various departments to analyze status, create plans for solutions, and implement processes.  Serves as a backup to the Materials Supervisor to include determining workloads and ensuring receiving and shipping processes are being completed in a timely and efficient manner.

 

Essential Functions:

 

  • Performs and coordinates return of merchandise for schools and departments. Works with accounts payable to expedite payment to vendors.  Performs return of supply functions and receipt verification for payment.   Obtains  return of merchandise authorization and credit documentation from vendors.   Corresponds with vendors to expedite late deliveries and product shortages.  Coordinates  with the Purchasing Department regarding price increases and/or cancels purchase orders, assists purchasing and enforces contract pricing and  warranties, and addresses shipment stipulations when necessary.

 

  • Performs distribution and receiving of purchase order merchandise and supplies. Process electronic requisitions for supplies, delivery preparation and driving delivery and mail trucks.  Acquires on-site electronic signatures to verify receipt of items.  Executes communication regarding of proof of delivery for customers, accounting staff, and materials management staff.  Executes pre-trip and post-trip inspections on vehicles and  performs general maintenance to all applicable equipment.  

 

  • Performs District required mail functions to include sorting, processing outgoing mail, and delivering interoffice mail to all departments and schools.  Acts as a backup to the courier to include handling confidential and urgent information.  Communicates with Superintendent’s office, administration, and other constituents in a professional and courteous manner. 

 

  • Performs supply inventory functions such as providing return credit recommendations, determining inventory item relocation and minor revisions to inventory item file, deciding storage location for surplus supply inventory, and ensuring inventory life cycle (FIFO). Performs inventory receipts directly into financial system to include recommending item location.  Ensures inventory specifications are in accordance with district bids.

 

  • Assists inventory control to determine and separate disposal and  recycled materials to include delivery and pick up of disposal and recycle items and materials determined to be obsolete. 

 

  • Serves as a backup to the Materials Supervisor when unavailable to include determining workloads and ensuring receiving and shipping processes are being completed in a timely and efficient manner.

 

  • Assists and performs annual physical inventory process, documents discrepancies, and recommends adjustments in database.

 

  • Performs other duties as required.

 

Required Qualifications:

 

To be eligible for this position, an applicant must meet the following required qualifications.  Verification of these required qualifications is necessary.

 

  • Two years of warehouse experience;
  • High School diploma or equivalent (G.E.D.) prior to being hired;
  • Valid Arizona Department of Transportation Driver’s License;
  • One year of computer experience.

 

 

 

 

Preferred Qualifications:

 

It is preferred that applicant possesses the following preferred qualifications; however, the following qualifications are not required to be eligible for this position.

 

  • Valid Arizona Department of Transportation Commercial Driver’s License;
  • Valid Forklift Certification.

  • Knowing types of equipment used in warehouses including forklifts, pallet jacks, hand trucks, banning machines and hydraulic lifts;
  • Demonstrating ability to distribute products in timely manner;
  • Maintaining confidentiality;
  • Using computer software related programs;
  • Engaging and encouraging communication skills while interacting with supervisors, staff, students, etc. to exchange information.
