Summary:  Under general direction, incumbent(s) supervises materials management staff, implements and oversees receiving and shipping processes, and collaborates with District and school staff in relation to materials management.  In addition, incumbent(s) performs data entry for materials management purposes and oversees and reports annual inventory for the materials management.

 

Essential Functions:

 

  • Supervises materials management staff including determining workloads, establishing work schedules, monitoring work performance, recommending new hires and terminations, conducting performance evaluations, performing training functions of support staff, providing professional development, maintaining personnel records, and resolving staff conflicts.

 

  • Implements processes and oversees receiving and shipping processes for the Materials Management Center including monitoring the unloading of delivery trucks, verifying purchase orders with packing slips, inspecting items for damage, signing for deliveries, logging and staging orders, indicating location to send items, and inputting received supply orders into the computer application system.  Ensures Materials Management Center and staff are complying with pertinent policies and laws.  Manages inventory stock levels and works with Purchasing Department to order inventory supplies.

 

  • Performs data entry to update inventory database and receiving information into District’s receiving system.  Creates spreadsheets and reports for analysis purposes in regards to inventory and receiving.

 

  • Collaborates with schools and departments in determining supply needs by maintaining contact and discussing requirements.  Schedules deliveries and transfers of furniture, equipment, and supplies. Manages mail routes and machine budgets.

 

  • Works with the materials management staff and vendors regarding deliveries, order status, incorrect orders, damaged goods, and returned items.

 

  • Works with the Property Control Staff to identify equipment and furniture requiring inventory control measures.

 

  • Assists Senior Buyers in the preparation of quotes and specifications while working closely with staff in determining needs.  Reviews and enforces compliance to specifications identified in bids, quotes, and purchase orders.

 

  • Coordinates teacher movement between schools with Director of Human Resources and graduation set ups with the schools.  Works with Purchasing and Transportation Department in regards to vehicle purchase and maintenance.

 

  • Oversees annual inventory by determining forms needed, work schedules, items to be inventoried, discrepancy reports, necessary adjustments, and prepares reports for Annual Financial Report and Single audit requirements.

 

  • Performs other duties as required.

 

Required Qualifications:

 

To be eligible for this position, an applicant must meet the following required qualifications.  Verification of these required qualifications is necessary.

 

  • High School diploma or equivalent (G.E.D.) prior to being hired;
  • Three years of Materials and Distribution related experience;
  • Valid Arizona Department of Transportation Driver’s License.

 

 

Preferred Qualifications:

 

It is preferred that applicant possesses the following preferred qualifications; however, the following qualifications are not required to be eligible for this position.

 

  • Associate’s degree in Business or related field;
  • Three years of supervisory experience;
  • Valid Forklift Certification;
  • One year of computer experience;
  • Valid Commercial Driver’s License;
  • Valid AZPIX Certification.
