Summary:

Under direct supervision, incumbent(s) performs a variety of office support duties such as data entry; requesting and printing automated reports as scheduled or by request; reviewing paperwork such as applications, purchase requisitions, payroll timesheets, employee information and student information for accuracy and completeness; and, providing routine information to staff and the public.

 

Essential Functions:

  • Performs data entry into automated programs including information such as purchase requisitions, payroll timesheets, student health records, student enrollments and withdrawals, student demographics and maintenance work orders.  Generates reports and other documentation for reporting purposes and reviews for accuracy.
  • Types and composes memos, letters, forms and reports including psychologist reports, inter-office memos, correspondence, over due book notices, truancy letters and reports, newsletters, flyers, signs,  requests for public records and/or court orders.        
  • Answers phones and questions regarding pricing, payrates, general accounting, enrollment and withdrawals, immunization requirements and budget information.
  • Schedules appointments for meetings and keeps calendars for those in area of assignment.
  • Maintains office file systems such as student records, purchase orders and personnel records by updating new information and removing old information.
  • Other job-related duties as assigned.

REQUIRED QUALIFICATIONS:

 To be eligible for this position, an applicant must meet the following required qualifications. In addition, verification of these required qualifications is necessary.

  • High school diploma or general equivalency diploma (G.E.D.)
  • One year experience providing clerical or secretarial support;
  • or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

  • Coding, classifying, recording, retrieving and verifying routine information;
  • Applying standard practices in area of assignment including bookkeeping, procurement, human resources, etc.;
  • Using a personal computer and other various types of office equipment;
  • Using related software applications;
  • Interpersonal communication skills while interacting with supervisors, staff, students, etc. to exchange information.

The employee must occasionally lift and/or move up to 25 pounds.   Specific vision abilities required by this job include Close vision, Distance vision, Peripheral vision, Depth perception and Ability to adjust focus.
