Essential Functions:

  • Oversees the District’s Fee-based Community Enrichment Programs to include implementing procedures associated with the department, devising marketing strategies to promote the programs, developing the program brochure, and evaluating effectiveness of programs using a variety of project evaluation tools and modifies program activities for program compliance.
  • Coordinates classes between the department, school administrators, and district staff or outside vendors. Develops and promotes new enrichment offerings and programs. Assists in resolving issues, interpreting district and school policies and procedures, and providing follow-up as required.       
  • Supervises Community Enrichment Program instructors including fulfilling instructor agreements, observing classes and monitoring class performance, establishing work schedules, conducting performance evaluations, performing training functions, maintaining personnel records and addressing staff conflict.
  • Manages the registration and tuition payments for students in Community Enrichment classes and generates class lists for instructors. Processes refunds if needed.   
  • Manages the self-supporting budget of the Community Enrichment Program by making budget decisions related to classes offered by district employees and outside vendors. Determines if enrollment is sufficient to continue Community Education special interest classes.  Notifies instructor(s) and returns tuition to participants for class cancellations           
  • Interprets, maintains, and documents procedures to ensure the department’s compliance with federal and state laws and district policies. Attends meetings and mandatory classes in compliance to federal and state laws and district policies.  Generates and publishes program handbooks describing compliance requirements and other related procedures.  Coordinates support meetings for the program.                           
  • Oversees and manages the Use of Facilities Program to include developing and recommending fee schedule to the Governing Board, attending conferences regarding use of facilities for a public school system, interpreting and implementing District procedures and policies, and remaining current and ensures program complies with applicable laws and regulations.                          
  • Handles requests, both internal and external, for the use of District facilities. Ensures requesting individuals complete necessary paperwork, submit liability insurance policies, understand necessary laws, regulations, District guidelines and fee structures.  Generates and publishes program handbooks describing compliance requirements and other related procedures.  Coordinates support meetings for the program.                             
  • Oversees and manages the Use of Facilities budget including approving and monitoring all custodial stipend forms, billing all groups for usage fees, and collecting and depositing fees. Writes and submits grant proposals to fund enrichment classes.  Seeks grant opportunities to scholarship enrichment students.         
  • Coordinates the Use of Facilities requests with the school administration, office managers, and facility managers to establish and schedule campus usage by internal and external needs. Hires and supervises custodial staff.  Coordinates with the Maintenance Department to establish and schedule for climate control and security.  Addresses concerns from the schools and departments regarding requests and previous usage.                                   
  • Develops promotional advertising brochures, pamphlets, banners, signs posters, and other materials for all Academic Support Programs activities including Kidspace and 21st Century Community Learning Center Programs.
  • Performs other related duties as required.

Required Qualifications:

To be eligible for this position, an applicant must meet the following required qualifications.  In addition, verification of these required qualifications is necessary.

  • High School diploma or equivalent (G.E.D.) prior to being hired;
  • Three years of office or related experience;
  • Valid Arizona Department of Transportation Driver’s License.

 

PREFERRED QUALIFICATIONS:

It is preferred that applicant possesses the following preferred qualifications; however, the following qualifications are not required to be eligible for this position.

  • Bachelor’s degree in Business, Recreation, or related field;
  • Three years of program management or related experience.
